Frequently Asked Questions

  • Yes! Our providers are all trained in Family Medicine and are equipped to meet the needs of patients of all ages- from babies to grandparents. Our patients appreciate keeping their care in one clinic, and we enjoy getting to know you and your family on a deeper level.

  • We are accepting all major insurances at this time including: Blue Cross Blue Shield, Aetna, Cigna, United Health Care/UMR, Qualchoice, Humana, Centene/Ambetter and most other insurances, please call if your insurance is not listed and we are happy to double check for you.

We do accept Medicare and Medicaid, however:

    • At this time, all of our medicaid slots are full and we are unable to accept additional medicaid patients

    • For medicare patients, we do request you complete our new patient paperwork before scheduling your appointment, as depending on your medical needs you may be better served by an internal medicine physician. Please contact the office if you have questions regarding this

We do see “self pay” patients and patients who do not have insurance, you can contact the front desk for additional questions regarding this.

  • We recognize your time is valuable. To be respectful of everyone’s time if you are more than 10 minutes late for your appointment you may be asked to reschedule- please plan accordingly.

We ask for 24 hours notice for appointment cancellations whenever possible, but we know life can be unpredictable (we’re humans too!). If you need to cancel your appointment within 2 hours of your appointment time this is considered a no-show, and frequent no shows/cancellations will need to be discussed with our clinic manager.

  • To respect other patients’ scheduled appointment times and minimize wait times, we do not take walk-ins. We do have same day slots available reserved for current/existing patients, but we ask that you please call ahead so we can try to accommodate you.

Unless there are cancellations we usually cannot see new patients as work in visits and recommend scheduling an appointment to establish so that in the future we can accommodate you for sick or acute needs

  • This is an opportunity to be proactive about your health, review annual bloodwork for adults and developmental milestones for children, and ensure all recommended preventative screenings are up to date. Essentially, it’s a time for us to partner together for preventative care to keep you healthy across the lifespan.

What is covered by your insurance as part of the Wellness Visit:

    • Checking vitals including height, weight, and blood pressure

    • Reviewing wellness bloodwork

    • Recommending preventative health screenings and interventions based on your age/risk, and for children reviewing developmental milestones

What is NOT covered by your insurance as part of the Wellness Visit:

    • Evaluating and diagnosing new health issues

    • Managing ongoing chronic conditions including high blood pressure, diabetes, asthma and mental health

    • Prescribing or making medication changes

As time allows, we do our best to address new concerns and manage medication refills at these visits to minimize the number of times you need to be seen in the clinic, but keep in mind if we are addressing things outside the scope of the wellness check, you may have a co-pay/co-insurance charge depending on your insurance. In order to respect all patients’ appointment times we may need to schedule a follow up to address your concerns.

    • Well Child Checks: Insurance routinely covers checks, and our recommended well check schedule is: shortly after birth, 2 weeks old, 1 month, 2 months, 4 months, 6 months, 9 months, 12 months, 15 months, 18, months, 2 years, 2.5 years, 3 years and they once yearly for ages 4 and above

  • We do have a patient portal through our medical records system, athenahealth. You can contact the front desk if you need assistance registering

The portal is a helpful place to view recent visit summaries, access your medication list, view lab results, as well as see any upcoming appointments or pay any outstanding balances

All new medication requests require an assessment by a provider to discuss your concerns (ie you will need to schedule an appointment; we do not call in or start new medications without an appointment- this includes antibiotics)

Our team works diligently to address your concerns in a timely manner. We prioritize taking care of the needs of patients in the clinic/with scheduled appointments before portal messages. Please allow 24-48 business hours for non-urgent portal messages to be addressed.

We do not have appointment scheduling through the portal at this time, you are welcome to send us a message if you need an appointment or contact the front desk

  • To comply with patient privacy laws, all medical records requests must be accompanied by a signed release form. We send records via e-fax to other providers or clinics free of charge. We do not e-mail records for security reasons.

Paper/printed medical records are $25 per copy

  • We are not a Functional Medicine Clinic. Some of our patients choose to use a “care team” and see us as well as functional medicine providers.

Dr. Bearden and Dr. Lutz are both trained in traditional western medicine, with experience and appreciation for integrative medicine.

Integrative medicine is healing-oriented medicine that takes account of the whole person (body, mind, and spirit), including all aspects of lifestyle. It emphasizes the therapeutic relationship and makes use of all appropriate therapies, both conventional and alternative. This means:

We view caring for your health as a partnership

    • We recognize that good medicine should be based on good science, and both traditional western therapies AND integrative/non-pharmaceutical interventions should have good evidence to support their use and safety

    • We use recommend natural, effective, less-invasive interventions whenever possible

    • “We practice what we preach”. We prioritize balanced living with meaningful work, investing in family, movement, nutrition, healthy relationships and faith/spirituality in our own lives, and encourage our patients to do the same
